An indoor room needs more than enough floor area

Measure the lowest overhead point, not just the advertised ceiling height. Lights, beams, fans, and decorative installations can reduce usable clearance. Include the screen, enclosure, player position, and spectator area in the layout review.

Check the route from unloading to the room. Door widths, stairs, elevators, and venue access times can matter as much as the room itself. Ask who approves equipment placement and where the suitable power source is located. A room described as an event hall is not automatically a confirmed fit.

An outdoor location needs a complete site plan

Share the proposed surface, slope, overhead obstructions, power location, and access route. Think about the setup at the actual time of the event: guest seating, catering, and other vendors may occupy space that was empty during a site visit.

Discuss sun exposure and screen visibility with the simulator team. More importantly, agree on how changing weather will be handled. An enclosure is not a promise of operation in every weather condition. Suitability must be assessed for the equipment and conditions on the day.

A backup space needs approval too

“We can move it inside” is only a useful backup if that indoor space also has the required dimensions, access, and power. Moving equipment may affect the event timeline, so do not plan on an instant relocation after guests arrive.

Ask when weather decisions will be made, who communicates them, and which options are available if the original location cannot be used. Confirm applicable cancellation or rescheduling terms directly; this guide does not establish a weather or refund policy.

Compare guest comfort and event flow

Indoors, watch for queues at doors and conflicts with food or presentation areas. Outdoors, think about how people get to the bay and where they can wait comfortably. In both cases, separate the playing zone from paths that guests need to use throughout the event.

Send your preferred location and any alternate space with measurements and photographs. Use the information request form while those details are being reviewed. Once the location and playing window work together, choose a package and request the appropriate start time.
