Choose the moment before the package

Cocktail hour creates a natural window while photographs are happening, but it is also a short window. If many guests want a turn, keep attempts brief. A longer reception window allows the activity to stay available as different groups wander over.

Coordinate pauses around speeches, the first dance, and other moments when you want everyone’s attention in one place. Tell the simulator team when these moments are scheduled so the activity supports the day. Setup access and breakdown should also be agreed with the venue and coordinator.

Place the bay where people can find it

The simulator needs an approved playing area, spectator space, access, and power. A distant corner can make it easy to miss; a position across a busy route can interfere with the rest of the reception. Ask the venue to review the footprint and guest flow together.

Keep drinks, tables, and children’s routes out of the swing area. Guests wearing formal clothing may prefer a gentle introduction or a short turn. Let people participate at their comfort level instead of treating every attempt as a long-drive contest.

Keep the game easy to join

A simple repeated challenge is easier for a changing crowd than a full round with a fixed group. Consider a few attempts per guest, a lighthearted team format, or open practice. Confirm which formats the simulator team can run before including them in signage or stationery.

The Fun Pack can add activities for guests between turns. A putting green and mini games give the group another way to participate, but they also need space in the floor plan. They are included with the Main Event and All-Day Social, or available for $80 with the Quick Round.

Give your coordinator one clear brief

Share the venue address, guest arrival time, playing window, vendor access rules, and coordinator’s contact. Include an outdoor backup plan if applicable. Decide who is responsible for confirming the layout and who will communicate timeline changes on the day.

Choose two, four, or eight hours based on when guests will actually use the simulator. If the celebration needs a different arrangement, request details before booking. Keep the rental decision tied to the reception plan, rather than buying extra hours just because the venue is open all day.
